Your Onboarding Checklist
- 1. Getting the Offer

☑ Accept your verbal offer of employment from your recruiter.
☑ Receive a welcome email introducing you to AdventHealth along with your benefits/Total Rewards. This email will be sent to you by [email protected].
☑ Accept your written offer of employment and review your benefits information. This will be within your welcome email.
- 2. Complete Your Pre-Employment Forms in Your Employment Portal

☑ Complete the following forms/acknowledgments in your employment portal. The link to access the portal will be sent to you via email by your recruiter:
- Personal Information Form
- Initiate Background Check
- Drug Screening
- Veteran Status
- Conflict of Interest
- Confidentiality Agreement
- HR Policy Acknowledgment
- 3. Connect with Your Preboarding Specialist

This individual will work directly with you throughout the onboarding process.
☑ Receive a welcome text message from your preboarding specialist, followed by an introductory phone call.
☑ Your preboarding specialist will provide additional onboarding information including updates on your status via email.
- 4. Complete Your Background Check and Drug Screening

For help in this stage, please contact your preboarding specialist. Team members required to complete an Employee Health Screening will also complete a drug screening during that appointment. All others will need to visit a site for completion.
☑ After initiating your background check in your employment portal, you will need to provide consent and the information required to complete your background check and pre-register for your drug test prior to heading to the collection site. This email will be sent to you by [email protected].
☑ Please note that background checks go back 7 years and include all counties lived in during that time. The average completion time for background checks is around 7-14 days.
☑ Visit your selected drug test site on your scheduled date and time and complete your drug screening. This is only for individuals who do not need a full Employee Health Screening, i.e., AIT, Corporate, etc.
- 5. Complete Your I-9 & Order Uniforms

For help in this stage, please contact your preboarding specialist. Please note that only uniformed roles will need to order and purchase uniforms prior to start date.
☑ Receive an email from LawLogix with instructions for completing Form I-9 (Employment Eligibility Verification). This email will be sent to you by [email protected].
☑ Please be sure to have your identification ready before starting the LawLogix process, it is a one-time access link.
☑ Order uniforms. If you are a uniformed team member, you will receive an email from [email protected] with instructions on ordering your uniforms.
- 6. Confirm and Complete Your Employee Health Screening*

☑ Receive an email from your preboarding specialist confirming your Employee Health Screening appointment.
☑ Receive an email from PureOHS confirming your Employee Health Screening appointment and providing information on what you need to bring with you, i.e., immunization records. This email will be sent to you by [email protected].
☑ Complete your Employee Health Screening including your drug screening and receive clearance to work.
- 7. Cleared to Start

☑ Receive an email notifying you that you are cleared to start work. This email will be sent to you by [email protected].
☑ Connect with your leader regarding your start date and any next steps.
☑ Receive your official “Welcome to AdventHealth” email that includes your OPID, which serves as your username, and be sure to follow the instructions within to set your new password. This email will be sent to you by [email protected].
☑ Receive confirmation email regarding your new password. This email will be sent to you by [email protected].
- 8. Prepare for Your First Day

For help in this stage, please contact HR and/or your leader.
☑ Receive an email from the HR team member experience team sharing details regarding your first day. This will include your start time and date, dress code and policies, location and campus map, day one expectations, and information on New Team Member Orientation.
☑ Receive a welcome from your onboarding ambassador. This is an individual on your team that will serve as your “buddy” to help you navigate your new role and guide you as you onboard onto the team. This person will help you get setup, connect with you 1:1, and answer any questions you may have along the way.
- 9. Celebrate Joining the Team!

☑ Don’t forget to celebrate! Share your excitement on joining our team by posting on social using #LifeAtAdventHealth.
- 10. Your First Days

For help in this stage, please contact HR and/or your leader.
☑ Receive your AdventHealth uniforms sent directly to your home. Uniforms will only be sent to those team members who require them and who have placed their orders.
☑ Meet with HR to obtain your badge and additional onboarding information.
☑ Connect with your team and leader to get to know everyone, learn more about the department, and understand your role and expectations.
☑ Meet with and enjoy a break or meal with your Onboarding Ambassador.
☑ Participate in our New Team Member Orientation including The Whole Care Experience where you will learn what makes AdventHealth who we are and how you can help us continue to live out our mission.
☑ Introduction to HR Shared Services recommended training course. HR Shared Services will be your go to place support around your personal information, benefits, job data/status and more.
☑ Learn to use The Hub recommended training course. The Hub is AdventHealth’s online self-service portal. This is where you will view and manage personal information.
☑ Learn to use ALN recommended training course. ALN is AdventHealth’s Learning Network. This is where you will access organizational training.
☑ Verify your personal information. Having accurate and up-to-date personal information on file is crucial in ensuring you receive important updates on benefits along with receiving things like your paycheck, if you do not utilize direct deposit. We ask that you verify the current personal information we have on file as soon as possible by visiting The Hub. If your home address, email address, or phone number is incorrect, you can update this information easily by using the corresponding tiles. All other corrections must be made by HR Shared Services by clicking on The Hub tile HR AnswerLink. You can also find this information by utilizing the HR AnswerLink Phrase:, “How do I update my personal information?”
☑ Set up your direct deposit by clicking on the My Pay tile, Manage Direct Deposit, in The Hub. Setting up a direct deposit can make things easier for you as your paycheck will automatically be deposited into your personal account. If interested in this option, we ask that you complete this information within the first week of employment. If it is not completed by the deadline, your paycheck will be issues to you on a stored value debit card until your direct deposit is officially set up.
☑ Submit your benefits selections within 10 days of your start date. You can view our benefit options and submit your selections by clicking on The Hub tile Benefits Enrollment. We want the very best for you and your family, so that you can truly feel whole. Our benefits packages allow you to customize the right coverage for you when it comes to your health insurance, retirement, disability, life, wellness, and more. If you do not make these selections within 10 days of your start date, it will be assumed that you are waiving the benefits package and will need to wait for the next Open Enrollment period to sign up again. ☑ Submit your W-4 Tax Form within the first week of your employment by clicking on The Hub, My Pay, W-4 Tax Information. If you do not complete your W-4, the exemptions will default to zero. The W-4 an is IRS form you complete to let us know how much money to withhold from your paycheck for federal taxes. Accurately completing your W-4 can help you from having a big balance due at tax time. It can also prevent you from overpaying your taxes, putting more money in your pocket during the year. If you need to update your W-4 exemptions at any time, you can always use the HR AnswerLink Phrase, “How do I update my W-4?” to return to the page.
☑ Enter Emergency Contact Information as soon as possible by clicking on The Hub tile, My Personal Info, Emergency Contacts. In case of an emergency we want to ensure that you have a loved one on file that can be contacted. Safety is our number one priority, and it is our goal to keep you safe while here at work.
☑ Complete the mandatory New Team Member Compliance and Policy Training in ALN within your first 7 days. Some facilities have different timing requirements, and your learning plan will be reflected of that requirement.
☑ If you are a leader, participate in our New Leader Orientation where you will learn how to best lead your team.
☑ Share your onboarding experience with us by participating in our Glint onboarding surveys (First Days, 45 Days, 90 Days) via email and by sharing a review on Glassdoor.
